Humor gets lost or misinterpreted, and emails intended to be positive typically come off as neutral, while messages intended to be neutral often come off as negative. Email recipients often interpret constructive criticism as more disparaging and hurtful than the sender intended.<\/p>\n<p>Academy of Management Scholar <a href=\"https:\/\/www.aom.org\/today\/kris-byron\/\" target=\"_blank\" rel=\"noopener\">Kris Byron<\/a> of Georgia State University said that the main problem is that people are overconfident in their ability to craft a written message that conveys exactly what they intend. She published <a href=\"https:\/\/journals.aom.org\/doi\/10.5465\/amr.2008.31193163\" target=\"_blank\" rel=\"noopener\">a research article on this topic in <em>Academy of Management Review<\/em><\/a>.<\/p>\n<p>\u201cBefore hitting send on an email, people might want to pause and ask themselves, \u2018What am I trying to say?\u2019 because most forget that there\u2019s a strong possibility that their message could be interpreted more negatively than they intend,\u201d Byron said. \u201cThat\u2019s really the most likely error.<\/p>\n<p>\u201cWe don\u2019t know how other people will interpret what we write\u2014when we\u2019re typing, we can hear our own voice in our head,\u201d she said. \u201cWe can hear the way we\u2019d say it, so we know what our own tone is, but once someone gets that message, they don\u2019t hear that same thing.<\/p>\n<p>\u201cThere\u2019s just this real disconnect, which means that people can misperceive them.\u201d<\/p>\n<p><strong>A common email mistake to avoid<\/strong><\/p>\n<p>A common email pitfall is to be too task-focused, Byron said. Cutting to the chase\u2014\u201cJust the facts, ma\u2019am\u201d\u2014can come off as terse to the point of being rude.<\/p>\n<p>\u201cThis is just generally how I am\u2014when I\u2019m working, a lot of times, I\u2019m just trying to get my work done,\u201d Byron said. \u201cI used to have to go back and add the pleasantries to the top and bottom of my emails, but usually when I write an email now, it\u2019s something I do\u2014it\u2019s a habit.<\/p>\n<p>\u201cIn almost every email that I send, I include, \u2018Is everything going all right?\u2019 or something like that; \u2018I hope you\u2019re doing well,\u2019\u201d she said. \u201cThat\u2019s the big thing\u2014people are so task-focused that they just immediately jump into work, and that\u2019s good to a certain extent.<\/p>\n<p>\u201cWe should be staying on task at work, and, yes, you need to get work done, but also it\u2019s really important to maintain strong, positive, good relationships with people, and the way work gets done is relationally.\u201d<\/p>\n<p>Especially when delivering criticism via email, even if it\u2019s intended to be constructive, Byron said that it\u2019s a good idea to take a step back and think, How can I soften this up a little bit?<\/p>\n<p>\u201cThis is not a big ask to just write a pleasantry or compliment or two, even if it\u2019s just something that\u2019s a little trite or clich\u00e9, for example, \u2018Happy New Year!\u2019 or \u2018Hope you\u2019re doing well,\u2019 something little to make your email not be quite so harsh-seeming to the person who receives it,\u201d she said.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>By Daniel Butcher Here\u2019s a hard truth: Most people aren\u2019t as good at writing emails as they think they are.
