Annual Meeting Policies

In order to ensure maximum benefit to Annual Meeting attendees, we ask that all conference participants read the following Academy of Management (AOM) Annual Meeting Policies.

Code of Ethics

Members and non-members participating in Academy of Management activities, including the Annual Meeting, must adhere to AOM’s Code of Ethics.

Annual Meeting Code of Conduct

The Academy of Management (AOM) is committed to fostering a professional, inclusive, and respectful environment at the Annual Meeting and at all AOM events. All participants are required to conduct themselves professionally, adhering to the AOM Code of Ethics and AOM Code of Conduct to ensure an environment in which all individuals feel safe and valued while learning, networking and collaborating.

This Code of Conduct applies to all members, employees, and volunteers of AOM, including but not limited to officers, committee members, speakers, exhibitors, sponsors, attendees, guests, and event staff participating in the AOM Annual Meeting and at AOM events. All participants engaged in AOM events shall comply with this Code.

Registration Policy Information

An AOM membership valid though 31 July 2026 is required to register and attend the Annual Meeting.
Registration is individual and non-transferable.
The Annual Meeting registration fee does not include membership or membership renewal, registration for Fee-Based Sessions,social events, or the Networking Guest Pass, nor does it include select Professional Development Workshops (PDWs) that require additional enrollment or payment.
You must be registered for the Annual Meeting before adding any Fee-Based Sessions: sessions not included with Annual Meeting registration and that require extra registration and payment.

Please note that you are solely responsible for arranging travel, meals, registration, housing accommodation, and paying the associated fees for each. These fees are additional and are the responsibility of everyone attending the Annual Meeting. No sponsorship is implied, and AOM assumes no responsibility for your stay in the host country.

Registration Payment Information

AOM accepts payments via credit cards including American Express, Mastercard, and Visa through the online registration system only. AOM accepts checks in USD drawn on US banks. AOM will not accept payment via e-email or e-mail attachments due to PCI compliance guidelines. AOM cannot accept purchase orders, ACH, or wire transfers. While onsite at an event, AOM cannot accept checks or cash payments for registration fees.

Registration Cancellations and Refunds

To cancel an Annual Meeting registration for any reason, the registrant must submit a cancellation request in writing to AOM at [email protected]. The registration fee is refundable until 25 June 2026 17:00 ET (UTC-4/GMT-4) and is subject to an $85 processing fee. When Annual Meeting registration is cancelled, any associated registrations for Fee-Based Sessions and Professional Development Workshops will also be cancelled.

We are unable to provide a refund for cancellation after 25 June 2026 17:00 ET (UTC-4/GMT-4) due to contractual obligations and guarantees. This refund policy applies equally to the Teaching and Learning Conference (TLC@AOM), the Networking Guest Pass, and Professional Development Workshops. Please note that social events are subject to their own registration and cancellation deadlines. Exceptions will not be made for registrants with cancelled travel arrangements or who require a visa and registered before acquiring one.

All eligible refunds will be issued in the original form of payment. If the information on the card has changed, you must contact the issuing bank with any questions. If the payment was made by check, a refund check will be issued to the original account associated with the check payment. Refunds are non-transferrable and cannot be applied to any future service, conference, or event. Refunds will be processed within 6-8 weeks of receipt.

Attendance Information

All attendees, including individuals scheduled on the official Annual Meeting Program, are required to have an AOM membership valid through 31 July 2026 and pay the appropriate registration fee to participate in any capacity at the Annual Meeting. This includes authors, award recipients, coordinators, discussants, facilitators, hosts, distinguished speakers, moderators, organizers, speakers, participants, presenters, panelists, placement interviewers, secretaries, treasurers, and any division elected or appointed volunteers regardless of membership status.
All attendees must abide by AOM’s Code of Conduct and Code of Ethics.
By registering to attend the Annual Meeting you grant permission to AOM to take and use your photo, audio, and/or video in marketing and promotional pieces, written publications, videos, and the association’s website for an indefinite period.

Name Badge

All attendees must wear official conference name badges to all Annual Meeting sessions, workshops, receptions, and events. Access to conference functions will not be permitted without a badge. Name badges are provided to all registered attendees. Members without an official conference badge will be asked to show proof of registration or to register for the conference. Accepted forms of proof include a registration receipt or a registration confirmation email. Failure to show proof of registration will result in removal from the conference and will subject registration violators to a formal ethics complaint. To facilitate interaction between participating exhibitors and attendees, AOM prints a bar code with each nametag which exhibitors can scan to retain that attendee’s contact information, like what is found on a business card: name, postal address, email address, and phone number. This is an entirely voluntary exchange of information. Members who do not want their information given to an exhibitor in this way should not present their code for scanning. Exhibitors will not be able to access attendee data without their consent.

Guest Policy

Members are not permitted to bring guests to attend any Annual Meeting sessions, workshops, events, or group functions at any time, for any reason.

However, members may purchase a Networking Guest Pass for $85, which allows one (1) Networking Guest to accompany them. This pass grants access to:

The Exhibit Hall
The Annual Meeting Opening Reception on Friday evening
Networking Hubs with refreshment breaks to connect with colleagues and peers
Complimentary Wi-Fi in designated areas

Should a guest wish to attend sessions, individuals must hold an active AOM membership valid through 31 July 2025 and be fully registered for the Annual Meeting. Violations of this policy may result in removal from the conference and could lead to formal ethics complaints.

Networking Guests must wear their official conference guest badge at all times to access the Exhibit Hall, Reception, and Networking Hubs. Individuals without a valid badge will be required to provide proof of registration or complete on-site registration. The pass is valid for all five (5) days of the conference.

A Networking Guest is defined as a spouse, partner, companion, or child (18 years or older) who is not an active or former AOM member and has no professional affiliation with AOM. Children under the age of 18 do not require a badge but must be supervised at all times.

Privacy Policy & Terms of Service

By attending the Academy of Management Annual Meeting (“AOM 2025 Annual Meeting”) and providing your Personal Data (as defined in the AOM Privacy Policy), you consent to Academy of Management (“AOM”) as the data controller, collecting and processing your Personal Data. You grant permission to AOM to take and use your photo, audio and/or video in marketing and promotional pieces, written publications, videos, and AOM’s website for an indefinite period. The AOM 2025 Annual Meeting app-based platform allows you to customize your meeting schedule and network with other meeting attendees. Depending on your profile preferences and with your consent, your Personal Data will be used to publish your photo and profile information to other registered attendees and users of the AOM 2025 Annual Meeting. Doing so allows other registered attendees to view your meeting agenda and permits you and other attendees to find people interested in similar topics, participate in conversations with attendees who share your similar interests, and post information to other attendees. You consent to sharing your email address and/or mobile phone number with AOM so that it can send you important messages about the meeting or with other attendees to communicate with you. You consent to grant permission to the Academy of Management (including its agents and authorized third-parties) to: (1) record and use, or arrange for the recording of, your photograph (photograph refers to any image reproduction process, including, but not limited to, slides, pictures, movie film, videocassette tape and digital photographs); live-streaming, and video recording; and (2) record my voice and/or comments, either written or spoken during AOM 2025. By attending AOM 2025, you understand and agree that your name, photograph (as defined above), voice, comments written or spoken or other such recording (“Recording”) will be live-streamed for broadcast on AOM’s website and may be published either in print or a medium such as television, radio, the Internet, official social media accounts (Facebook, LinkedIn, or Twitter, etc.), as a podcast or any other form of publication (“Publish” or “Publication”) and used for commercial or non-commercial purposes, without further notice or compensation, perpetually and worldwide and grant Academy of Management the non-exclusive rights to Publish the Recording as set forth herein. AOM is a 501(c)(3) not-for-profit association organized under laws of the State of New York of the United States of America. Based on your consent and for the purposes set forth above, the Personal Data that you provide will be processed in the United States. AOM employs adequate safeguards to protect your Personal Data; however, the United States may not provide you the same level of protection of your Personal Data as the laws applicable in your country of residence. You further understand that AOM will share your Personal Data with third-party providers, including our online meeting platform. AOM will provide select third-party sponsors the opportunity to contact registrants through an AOM sponsored email. You can opt-out of having your information published or receiving notifications from AOM, other attendees or third parties at any time by changing your member profile permission preferences. You understand that AOM retains your Personal Data it collects from the platform. You can request AOM to stop processing your Personal Data at any time. You freely confirm your consent to all the above. You understand that you may withdraw your consent to future processing at any time or for any reason by sending an email to [email protected]. If you withdraw your consent, AOM will stop processing and delete your information without undue delay, unless there are other legal grounds for processing. Your revocation, however, will not affect any Personal Data that AOM has already processed and transferred with your consent. Subject to applicable law, you are entitled to certain rights with respect to your Personal Data. You can request to access, rectify, erase or restrict, or object to, the processing of your Personal Data or make use of the right to data portability by contacting [email protected]. You also can lodge a complaint with the supervisory authority in your country of residence at any time.
